Your staff already use AI. Let’s make it safe

AI Onramp is our AI adoption program. If you own or run the organisation, you get the tool choice settled, a policy your people can follow, and every team trained in the tool and the rules.

Others teach AI as a personal productivity tool. We help your whole business use it to add value across teams.

Your staff are probably already using AI without clear rules. Softwired brings technical and change experience to set safe ones and put AI to work on the repetitive tasks that take up your team’s time.

We start by finding out how your people use AI today, with no blame for anyone already using it. What we find sets the tool choice and the policy, and it tells us what each team needs to be trained in. It comes in three tiers, so it fits a small team or a multi-site organisation. We run it from Brisbane for organisations across Australia.

From there we put AI into the processes your teams share, so each team works the same way on the same task, with the same checks. After that, the program is yours to run.

Start with a chat. We’ll work out which tier fits, or tell you if none does.

/ 01The problem we solve

AI is already in your business, on accounts you can’t see.

Staff sign up with a personal email, then paste in client files, pricing or plans. That data now sits in systems you never approved, under terms nobody at your organisation has read.

This is what happens when the tools arrive before the rules. The keen ones get quick at AI with nobody checking their work. The cautious ones wait for permission that never comes. Invoices turn up for subscriptions you didn’t know you had. Then a draft nobody checked reaches a client, and the question in the room is who was supposed to read it.

/ 02How we work

Structure first, then momentum. We embed quickly.

1

Find out what’s in use, and what it costs

A staff survey and leader interviews show which AI tools your people actually use. We set that against what you already pay for.

2

Set the rules

Your AI policy tells people which tools are approved, what data can go where, and which uses are fine. Someone inside your business owns it from the start.

3

Train, apply, hand over

Every team gets trained, your champions get coached, and AI goes into your own processes. What we build with you is yours at the end.

/ 03What you get

What lands on your desk.

1

A clear picture of AI use

Which tools your people use today, approved or not, any subscriptions you’re paying for twice, and which tasks are worth putting AI on first.

2

A tool choice you can trust

We start from the licences in your hand, then name the tool that fits your work and your rules.

3

An AI policy people can follow

The policy sets out approved tools, data rules and acceptable uses in plain English. Your staff should be able to read it once and know where they stand.

4

Trained teams and a way forward

Staff trained in the tools you actually use, AI running inside workflows you already run, and the next moves written down and owned by name.

What AI Onramp covers

The three steps above, in six stages, scoped with you before we begin. Together they produce the four deliverables above. Rules come before rollout. People find out what’s allowed before anyone asks them to work differently.

  1. Discovery and assessment. Leader interviews and a no-blame staff survey map how each team uses AI and which tools are in play. The no-blame part is the point. If the survey can get someone in trouble, you get a clean sheet back and learn nothing.
  2. Tool analysis and costing. Your current licences get compared with what your teams are asking for, and you get a recommended tool and licence model.
  3. AI governance and policy. The policy covers approved tools, data classification, acceptable uses and risk limits. You name an AI Lead, and that person owns it once we step back.
  4. Training and coaching. All staff learn the same core material, each team gets training for its own work, and your AI champions get side-by-side coaching.
  5. Workflow integration. We put AI into the processes you picked, with read-only data access where that lowers the risk. We build it with the people who run the process, not around them.
  6. Readout and handover. We run the same survey again, same questions, so the before and after are comparable. Then we hand over the policy, the training material and the plan for what comes next. All of it is yours to keep.

Three tiers, picked with you

The four deliverables above scale with the tier you pick. We work with organisations of any size. Small and mid-size is where we fit best. We pick your tier with you on the discovery call, and you can pull an item down from the tier above.

Foundations

Best for smaller teams, or anyone who needs the rules in place fast.

You get a chosen tool, a one-page acceptable-use policy, a named AI Lead, staff trained on the basics, and three workflows.

Growth

Best for most organisations. This is our standard program.

You get everything in Foundations, plus five workflows, each with an owner and measures, training on the chosen tool, AI champions, a before-and-after readout and a forward plan.

Transformation

Best for larger or multi-site organisations, often run in waves.

You get everything in Growth across the organisation, plus the full policy and procedures, a number of workflows set for the engagement, and a roadmap reviewed each quarter.

Training that works in any tool

The core training is tool-neutral. Your people learn how generative AI works and where it fails. They learn how to prompt it, how to check an output for accuracy, sources and bias, how to classify data against your AI policy, how to find and rank use cases, and when to stop and ask a person. The exercises run in any tool.

On top of that we add a module for each of the major AI assistants your teams use. Each module covers where the tool fits, how to set it up safely, workflows run in your own tool, and links to the vendor’s own docs.

If your people want AI agents that work in the background or act for them, we add an agents track. An agent needs limits, like any new starter: what it can read and share, when it must stop, and which actions must always ask a person first (sending, posting, paying, deleting). The track also covers least-privilege permissions and how to audit and log what an agent did. We recommend it once you have a named, repeatable workflow, your AI policy and the core training are in place, and your plan lets admins limit access and require approval.

How we pick your tools

The models keep improving and keep converging, so a benchmark score dates fast. A tool earns its place on how it fits your work, your data and your rules. That is why we have no favourite vendor.

We start with what you already pay for, including any AI already built into the software your teams use. We add another tool only when your team has a named need the current ones can’t meet, and that tool’s business plan meets your policy. Your own survey, systems and data decide the choice. Consumer and free plans never make the list for work data.

Need your data stored in Australia? Tell us at the start. We’ll only recommend a tool and plan that keeps it here, and we’ll confirm that with the vendor in writing before you commit.

We recommend tools, we don’t resell them. We take no commission, so the recommendation answers to your rules and nothing else.

Why Softwired

We bring both sides of this. On the technical side, a software background and deep experience using AI for productivity and to build software. On the people side, experience leading change and delivery. So the training is hands on, and the rollout is planned the way you’d plan any change your people have to live with. We work alongside your staff, on the tools with them.

AI pays off when it augments a process you already run, one workflow at a time. Redesigning the process first is a bigger project, and it can stall before anyone sees value. That is why AI Onramp starts inside the work you do now.

Two other options are common. One is to ban AI, but a ban can push the same work onto personal accounts, where you see even less. The other is to leave it with each team, which is how the problems above start.

Consulting is moving from doing the work for you to getting you up to speed and then stepping back. We think that is the right direction. Our job is to leave a named AI Lead inside your business who owns the rules, and to be unnecessary after that. We measure first. The survey at the end tells you what moved. We enjoy this work, and the part we look forward to most is people saying openly what they use.

/ 04Signals you need this

If two or more sound familiar, let's have a chat.

  • Your staff use personal AI accounts for work, and you can’t see what goes in.
  • Teams pay for their own AI subscriptions on top of licences you already hold.
  • Some staff use AI every day and others haven’t started, because nobody has said what’s allowed.
  • Two teams solve the same task with AI and neither knows what the other did.
  • You’ve had a near miss. Something went out to a client that nobody reviewed, or a decision rested on a wrong answer.
/ 05Common questions

The questions we get before we start.

What is an AI adoption program?
+

An AI adoption program gets your whole team using AI safely and usefully, on tools you’ve approved. AI Onramp is ours. We find out how AI is used today, settle the tool choice with you, set the policy, train your people, and put AI into your own workflows.

Which AI tools do you work with?
+

Any of them, and that’s deliberate. We have no default vendor. The core training works in whatever tool you choose, and we add a module for each product your teams use.

Our staff already use AI on personal accounts. Where do we start?
+

With a clear picture of what’s already in use, and no blame for anyone who’s been using it. From there you choose the approved tools, we put the policy in place, your teams get trained, and the work moves onto accounts you control.

Can you keep our data in Australia?
+

Need your data stored in Australia? Tell us at the start. We’ll only recommend a tool and plan that keeps it here, and we’ll confirm that with the vendor in writing before you commit.

Do you set up AI agents?
+

Yes, through an optional agents track. It teaches your team to give agents only the access a task needs, to have a person approve anything that sends or pays, and to keep a log of what each agent did. We suggest it when there’s a repeatable workflow to automate, your policy and core training are done, and your plan lets admins limit what an agent can do.

How long does it take, and what does it cost?
+

Both depend on which tier you take and the scope we agree up front. We work the tier out with you on a discovery call, and confirm the rest in writing before anything starts. A real figure goes in writing. We won’t guess at one here.

How is AI Onramp different from AI advisory?
+

AI advisory is the strategy work, deciding which AI investments are worth making. AI Onramp is the adoption work, getting your people using approved tools safely, under clear rules, in their daily work.
